For those planning to attend the BIG Summer Social today, Saturday 18th July, we have detailed some important information below.


Putting on such an event at which we expect over 350 people to attend at some point throughout the event takes a huge amount of organisation and planning from many volunteers.

Taking time to read this information will really help us run the event smoothly and should also create a better experience of the day for you too.

Location

School Field - Access the site is through the normal pedestrian gate on Dukes Ride.

Time

3 - 7pm

Parking

The school car park is reserved for organisers and vendors only

Please either walk or use surrounding residential streets and car parks where permitted, without blocking driveway access or creating a hazard at junctions

Please do not use Napier Court

Dogs

We're sorry to say that your furry friends are not able to attend the event.

Supervision

The Friends need your help to ensure your children are playing safely on site, especially on the play equipment to the rear of the school which will not be supervised by us.

The front playground and trim trail will be out of bounds for safeguarding reasons as there is not direct line of sight from the rear of the school .

It's also important to note that the pedestrian gate will be open at all times and entry/exit will not be monitored.

Food & Drink

A BBQ serving good quality hot food + a bar serving a selection of alcoholic and non-alcoholic drinks are being run by The Friends.

We have outside vendors - an Ice Cream Van and Coffee Kiosk - available for the duration of the event too.

Of course, you are more than welcome to bring your own food and drinks onto site, but please bear in mind we are a nut free school.

Shelters for Shade

It's forecast to be sunny spells throughout the day...yay! If you would like to bring along a shelter (gazebo/beach tent) of any kind please do!

There will be a dedicated area to put these up near the climbing frame on the right hand side of the field.

As the sun moves round, there should also be some shade on the edge of the woods and of course in the woods throughout the event.

First Aid

We have qualified first aiders on site throughout the event.

Please go to the Welcome Desk if you need assistance.

Toilets

Facilities will be available throughout the event. There are certain toilets for specific age groups and a dedicated accessible toilet too.

Please follow signage to ensure you use the right one!

Payment Accepted

At the BBQ, Bar and Tombola stalls, cash or card will be accepted.

For all other activities including game stalls, the bouncy castles and the face painting we are operating a token system.

Tokens are available to purchase using cash or card from the Welcome Desk throughout the event.

Where you can pay with cash, we'd appreciate it, as this minimises our costs. If this isn't possible then of course card payment is also welcome

Paid Activities - Pre-Booked

While we'll have back-up records to hand of who has ordered what, please have your confirmation email ready to show when you arrive

Animal Encounter - please refer to your confirmation email to ensure you know the time slot you have booked - these are non-transferable to other time slots. A green wristband with the time slot marked on it will be issued and needs to be shown when entering the Y2 classroom (where the experience will be) via the ramp. Children need to be waiting at the bottom of the ramp 5 minutes before their session starts.

Silent Disco - you can pick up your headset at the Welcome Desk as you enter the field - a red wristband will be issued to allow users to drop/pick up headsets as they wish throughout the event

Token Bundles - you can pick these up at the Welcome Desk as you enter the field

 

Paid Activities - NOT Pre-Booked

Animal Encounter - We have left the 6-6:25pm slot open for bookings on the day with just 20 places available. Book and pay (£6) at the Welcome Desk when you arrive if this is of interest for as long as places are still available.

Silent Disco - We will have a limited number of headsets available to book on the day. Book and pay (£5) at the Welcome Desk when you arrive if this is of interest.

Tokens - These can be purchased on the day at the Welcome Desk.

Litter & Waste

Bins will be provided but if you can take as much home with you as possible, it would be appreciated!

Volunteering

We have almost 50 volunteers organised to help the day run smoothly.

If you are one of these, please check your email for a message from our about what you are doing :-)

If you haven't volunteered yet and feel the urge to do so on the day, even if it's just for 30 mins, please talk to someone on the Welcome Desk - there will be a need for help somewhere!
